Virtual Assistant (Remote)

We are seeking a highly organized, tech-savvy, and proactive Virtual Assistant to provide comprehensive support across our client’s business operations. Your ability to quickly learn new software and use AI tools like ChatGPT effectively will be key to your success.

Key Responsibilities:

Business Administration:

  • Manage email inboxes and calendar scheduling.
  • Coordinate meetings, prepare agendas, and take detailed notes.
  • Organize and maintain digital files and records in Google Drive/Dropbox.
  • Handle basic data entry and ensure data accuracy across systems.
  • Assist with travel arrangements and expense reporting.

Research & Analysis:

  • Conduct market, competitor, and industry research.
  • Summarize findings into clear and actionable reports or presentations.
  • Research potential leads, partners, or new tools/software.
  • Compile data for reports and presentations.

Social Media Management:

  • Assist in creating, scheduling, and publishing engaging content across platforms like Instagram, Facebook, LinkedIn, Twitter, etc.
  • Help with community management (responding to comments and DMs).
  • Conduct basic graphic design using tools like Canva.
  • Monitor social media trends and provide insights.

Tech & AI Savviness (A Must-Have):

  • Utilize a variety of software and platforms (see list below) with ease.
  • Use AI tools, specifically ChatGPT, to draft content, brainstorm ideas, summarize information, and automate repetitive tasks.
  • Troubleshoot basic tech issues and show a willingness to learn new applications quickly.

Required Skills & Qualifications:

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Exceptional proficiency with technology and software. You are a quick and eager learner of new digital tools.
  • Hands-on experience using ChatGPT or similar AI tools for professional tasks (e.g., writing, research, task automation).
  • Strong written and verbal communication skills in English.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks.
  • Self-motivated and able to work independently with minimal supervision in a remote setting.
  • Familiarity with major social media platforms and their best practices.

Technical Proficiency We’re Looking For:

  • Communication & Collaboration: Slack, Microsoft Teams, Zoom, Google Workspace (Docs, Sheets, Drive), Microsoft Office.
  • Social Media & Design: Buffer/Hootsuite/Sprout Social, Canva, CapCut, basic knowledge of Meta Business Suite.
  • Organization & Project Management: Asana, Trello, ClickUp, or Notion.

Nice-to-Have (Optional):

  • Experience with basic CRM management (e.g., HubSpot, Salesforce).
  • Knowledge of email marketing platforms (e.g., Mailchimp, Klaviyo).
  • Understanding of basic SEO principles.
